Federal Monitor Workflow

A typical Federal Monitor workflow addresses the complex needs of a monitoring process in an intuitive, web-based workflow.

With Federal Monitor, schools complete a self-assessment online. State monitors review the submitted data prior to conducting on site reviews or other face-to-face activities as needed. Comments and corrective actions are input online, immediately available for review by the school district.

The state agency sets up school districts to be monitored, based on which grants were received by which schools and an established review cycle.

Schools log on to secure web applications to create a Self Assessment.

When schools complete the Self Assessment process, a finalized document is generated. E-mails are sent to appropriate state agency staff (chairpersons, single point of contacts, administrators, etc.) informing them that the school has completed this step and a finalized assessment document is ready for review.

State agency staff log on to a secure state-level website to review the Self Assessment and prepare for the onsite monitoring.

State agency staff go onsite at the school and perform an onsite monitoring and addressing any issues resulting from the self assessment results. They then complete the first iteration of a corrective action plan online. When the plan document is generated, an e-mail is sent to the school informing the school of the document's availability.

The school logs on to their secure school-level website and downloads the corrective action plan.

As the school district is brought into compliance, the state agency staff update the corrective action plan online as needed and generate updated documents. The process is continued until all school district issues are resolved.

When all school district issues are resolved, an e-mail is sent to appropriate state agency staff that all outstanding issues have been resolved. Once approval is received, Leader generates the necessary documents to complete the process and forwards them to the proper personnel.

As the state agency's need for information or the process changes, Leader changes the web applications to meet changing requirements. If specific data is needed for analysis, Leader produces ad-hoc reports upon request.

Leader works in partnership with state agencies to meet their specific needs. The process of school district monitoring will vary from state to state – Leader does not offer a "canned" solution, but a framework that is customized to meet the needs of a particular client.
